Project Management Specialist (SmartCity Projects)

Job Description

1. SmartCity Project Management & Coordination Support (20%)

  • Detailed Planning: Assist in developing detailed project plans for SmartCity initiatives, including timelines, milestones, and deliverables as directed.

  • Feature Planning: Participate in analyzing and planning SmartCity system features aligned with the specific requirements of each project.

  • Progress Monitoring: Track and report project progress, coordinating with stakeholders to ensure timely delivery.

  • Budget Support: Monitor budget utilization, prepare reports, and support cost optimization efforts.

  • Risk & Issue Management: Identify and report risks, and assist in resolving issues arising during project implementation.


2. Technical Evaluation & System Implementation Support (50%)

  • Design Review: Participate in reviewing and providing input on ME design, BoQ, and IoT/SmartCity equipment specifications.

  • System Coordination & Deployment:

    • Support IP architecture and network infrastructure planning.

    • Monitor handover and setup of technical infrastructure.

    • Supervise system and device installation and configuration.

    • Coordinate system testing and User Acceptance Testing (UAT).

    • Support end-user training and user guidance.

  • Quality Control: Ensure deliverables meet required standards and comply with regulations.

  • Project Handover: Participate in acceptance procedures and prepare handover documentation.


3. Client & Partner Management Support (20%)

  • Customer Support: Assist in client meetings, product introductions, and solution presentations.

  • Sales Support: Support preparation of quotations, technical proposals, and contract documentation.

  • Stakeholder Coordination: Coordinate with internal teams, partners, and contractors.

  • Pricing Support: Assist in preparing pricing information, maintenance, and service cost breakdowns for solutions.


4. Reporting & Management Support (10%)

  • Project Reporting: Prepare reports on project progress, financial status, and issues for management review.

  • Team Support: Assist team members in task execution and coordination activities.

  • Process Implementation: Apply project management processes and contribute to workflow improvements.

  • Documentation: Develop and maintain project documentation, lessons learned, and knowledge-sharing materials.


Job Requirements

1. Mandatory Requirements

  • Bachelor’s degree in Information Technology, Electrical/Electronics Engineering, or related fields.

  • Minimum 3–5 years of experience in technology system implementation, preferably in Parking, CCTV, Smart Home, IoT, SmartCity, or Infrastructure projects.

  • Experience participating in projects with budgets ranging from VND 2–20 billion as a coordinator or specialist.

  • Proficiency in MS Project, Jira, Trello, and other project management tools.

  • Experience in project coordination from planning to implementation.

  • Strong communication skills and ability to work effectively in teams.


2. Preferred Qualifications

  • Experience in Smart Building, Smart City, or IoT ecosystem projects.

  • PMP/CAPM certification or equivalent project management knowledge.

  • Understanding of network infrastructure, IP planning, and system integration.

  • Experience working with ME contractors and system integrators.

  • Background in telecommunications or automation systems.

  • Experience in vendor coordination and procurement support.

  • Knowledge and experience in Agile/Scrum methodologies.

  • Experience in technical documentation and user training.

  • Good English communication skills for reading technical documents and professional communication.


3. Soft Skills

  • Coordination: Ability to collaborate effectively with teams and stakeholders.

  • Communication: Clear reporting and professional communication skills.

  • Problem-solving: Strong analytical thinking and solution-oriented mindset.

  • Detail-oriented: Careful in tracking tasks and maintaining documentation.
